AI reconciliation software: two sources, aligned on their own

Two data sources, aligned on their own.

Reconciling by hand means matching two lists for hours only to find out that almost everything agrees. The trouble is that the money is in the “almost”: the payment that was never applied, the supplier invoice with a price different from the agreed one, the expired discount that stayed active. Because the process is slow, it is done by sampling or late, and the differences get paid without anyone seeing them.

The nBlock Reconciliations block matches any pair of sources: PDF against PDF, Excel against PDF, ERP against PDF and more. It reads the documents without a prior template per supplier, matches the records and flags the differences in amounts, quantities and missing items. It runs on the ERP you already have, without touching it, and reconciles all of the records, not a sample.

Challenge

Reconciling sources by hand — invoices against orders, statements against the ERP, price lists against what was billed — is slow, and the differences get paid without anyone noticing.

Solution

It reads any pair of sources (PDF, Excel, ERP), matches the records and flags differences in amounts, quantities and missing lines.

Impact

You stop overpaying: the differences surface in time.

  • Any pair of sources: PDF, Excel or ERP
  • Automatic matching of records and amounts
  • Differences and missing lines surfaced

How it works on your ERP

  1. Step 1

    Reads any source

You upload or connect the two sources to reconcile: the PDF statement, the Excel settlement, the invoices or your ERP data. The AI reads them and brings them into a single format.

  2. Step 2

    Matches in layers

It first reconciles what matches exactly. Then it resolves the fuzzy cases, like names or references written differently, and the grouped ones: a payment that covers several invoices or an invoice paid in parts.

  3. Step 3

    Applies your tolerances

You define which difference from rounding, withholding or commission is accepted as an adjustment. What falls within the threshold is reconciled and logged. What exceeds it goes to review.

  4. Step 4

    Hands you the exceptions

What does not reconcile comes out classified by cause: missing item, amount difference, quantity difference or duplicate. Your team resolves cases that are already diagnosed, with a trail for every adjustment.

Where it is used

Supplier invoices against purchase orders

You verify that each supplier bills what you ordered, in the quantity received and at the price you agreed, before the difference gets paid without anyone noticing.

Bank statement against ERP

Every bank movement finds its counterpart in the system, even with different references or payments that cover several invoices. Unapplied payments and fees come to light.

Price list against what was invoiced

You catch discounts loaded wrong, expired terms that stayed active and promotions that were never taken down, the margin that slips away without any customer complaining.

Frequently asked questions

What is the difference between reconciling and validating invoices?

Validation compares an invoice against what was expected before paying or issuing it, so it prevents. Reconciliation matches two sets of records that have already happened, like a statement against the ERP, to find differences, so it detects. The block works on pairs of sources, so it serves both cases.

Do I have to build a template for each bank or supplier?

No. The AI reads PDF, Excel and ERP data without a prior template per supplier, which was the limitation of traditional OCR. If a settlement arrives tomorrow in a different format, it is read just the same. What you do define are the business rules, such as the accepted tolerances.

What happens with what the system cannot reconcile?

It goes to a list of exceptions with the cause already classified: missing in one source, amount or quantity difference, duplicate. There is always a part that needs human judgment, and that is exactly the part worth having your team handle, without investigating from scratch.

Do I need to touch my ERP to automate reconciliation?

No. The block reads from the ERP and from the external source, matches outside of it and gives you back the result. Your transactional system is not modified and stays the source of truth. That is why it goes live in weeks and does not require a systems project.
