AI collections software: collect on time what you already earned

The money you already earned, collected on time.

Most of a distributor’s cash problems do not come from selling too little. They come from collecting late. Following up on overdue receivables is done by hand, with spreadsheets someone builds every week, and by the time the reminder goes out the debt has gone cold. Meanwhile, you are financing your customers’ business with your own working capital.

The nBlock Collections block automates that cycle on top of the ERP you already have. It reads the open invoices, builds the account statements, classifies the receivables by age and prepares the communication for each customer according to their rules. Your team stops consolidating reports and spends its time negotiating the cases that really need it. It is contracted as a service and results show up in weeks.

How it works on your ERP

  1. Step 1

Reads the receivables from your ERP

It connects to your ERP and pulls the open invoices, payments and each customer’s terms. It replaces nothing: the ERP stays the source of truth and there is no data to load again.

  2. Step 2

    Classifies and prioritizes the debt

It groups the debt by customer, orders it by age and flags the critical accounts. It calculates the real DSO on your data, with the days each customer actually takes to pay.

  3. Step 3

    Prepares the communication per customer

It generates account statements and reminders ready to send, with rules per customer: when to notify before the due date, how often and when to escalate to a person on the team.

  4. Step 4

    Follow-up and management dashboard

Overdue receivables and DSO are visible live. Each collector gets their accounts prioritized and management follows the overall evolution of collections without building a single report by hand.

Where it is used

Reminders before the due date

Notify each customer before the invoice falls due, so preventive collection lowers delinquency instead of chasing the debt after it has stretched out.

Month end with just enough cash

Know which accounts move the needle on cash flow and go after them first, instead of spreading the same effort across all the overdue receivables.

Strategic customers, different treatment

Tell apart the large customer who is late once from the systematic late payer, with a different frequency, channel and tone of contact, without putting the business relationship at risk.

Frequently asked questions

Do I have to change ERP or migrate data?

No. The block runs on the ERP you already use and reads the invoices, payments and each customer’s terms from it. The ERP stays the source of truth: payments are recorded where they always were and nBlock adds the automation and follow-up layer on top, with no double entry.

Do the messages to customers go out on their own or does someone review them?

You decide, through the rules per customer. Routine reminders can go out automatically and sensitive cases are left for a collector to review or negotiate. The idea is that automation handles the repetitive volume and your team puts its judgment on the strategic and conflicted accounts.

What does real DSO mean?

It is DSO calculated on what actually happens in your receivables: how many days each customer takes to pay, not the term agreed on the invoice. It is common for a customer to agree to 30 days and pay quite a bit later. Seeing that difference per customer is what lets you prioritize collections well and project cash with real data.

How long does it take to be up and running?

Results show up in weeks, not months. Because the block reads the data already in your ERP, there is no long systems project. The receivables are connected, the communication rules per customer are defined and your team starts working with the prioritized book. It is contracted as a service, per block.
