AI order taking: from WhatsApp to your ERP, with no manual entry

Zero manual order entry.

At most distributors, orders arrive by WhatsApp, voice note, email or a photo of a paper list. Someone interprets them, looks up each code in the catalog, checks stock on another screen and keys them into the ERP line by line. Every step adds delay and adds errors, and every error is paid for later in stockouts, returns and complaints.

The nBlock Orders block removes that double entry. Your customer orders the way they already do, by voice, text or photo, and the AI interprets the message, matches it against your catalog, validates price, stock and terms against your ERP and leaves the order ready. Your operators review only what needs clarification and your reps go back to selling.

Challenge

Order taking is manual, slow and double-entered; every error gets paid for in stockouts, returns and complaints.

Solution

A B2B suite where the customer orders by voice, text or photo; the engine interprets it, validates price, stock and delivery, and posts it to the ERP.

Impact

No double entry, fewer errors and orders ready in minutes.

  • Customers order by voice, text or photo
  • Price and delivery rules per customer
  • Stock validation and posting to the ERP

How it works on your ERP

  1. Step 1

Receives the order however it arrives

It accepts text, voice notes and photos of lists or forms through the channels your customers already use, like WhatsApp or email. Customers do not have to change how they order.

  2. Step 2

    Interprets and finds each SKU

It recognizes products even when they come with nicknames, abbreviations or partial references, extracts quantities and units, and maps each item to the right code in your internal catalog.

  3. Step 3

    Validates against your ERP

It applies the rules engine: the customer’s price list, payment terms, delivery window and available stock. If anything is ambiguous or out of stock, it asks for clarification before going further.

  4. Step 4

    Order ready, no double entry

The validated order is ready to enter your ERP, which stays the source of truth. Anything that fails validation goes to the operator console with the reason in plain view.

Where it is used

Orders outside business hours

A customer who closes the store at night sends the restock by WhatsApp and by morning the order is already interpreted and validated, with no one to wait for.

Routine reorders

The usual orders, with small variations, stop eating hours of the rep’s day. The block handles the entry and the rep uses that time to advise customers and open accounts.

Prices and terms per customer

Customers with negotiated prices, payment terms and delivery windows of their own: the engine applies each one’s rules and prevents discounts from being misapplied.

Frequently asked questions

Do my customers have to download an app or order with codes?

No. The customer keeps ordering the way they do today, by WhatsApp, voice note, text or a photo of their list, in casual language. The AI recognizes products even when they come with nicknames or the customer’s own trade names and maps them to your catalog. For those who prefer it, there is also a mobile flow to order by voice, text or photo.

What happens if the order is ambiguous or there is no stock?

The order is never processed blindly. When a product has several possible references, a quantity is missing or stock falls short, the system flags it and asks the operator or the customer a precise clarifying question before going further. That way you avoid finding the mistake at dispatch, which is where it costs the most.

How does it connect to my ERP?

It runs on the ERP you already have, without replacing it. It reads the catalog, price lists, each customer’s terms and stock from there, and the validated order goes back to the ERP, which stays the source of truth. There is no migration or long systems project: results show up in weeks.

Does it replace my operators or my sales reps?

No, it takes away the repetitive part. Operators work from a console where they review only the exceptions, with the reason for each in plain view. Sales reps stop being order takers and spend that time advising, offering new products and winning back customers who went cold.
