A rep from a consumer goods distributor walks in to visit a customer and, in five minutes of conversation, learns three things: that a competitor has cut the price on an important line, that the customer is going to remodel and expand the store in a couple of months, and that they are thinking of adding a new category the distributor happens to carry. The rep leaves the visit, gets in the car, drives to the next one. Where did all that go? Into their head. And from their head, almost none of it ever reaches the system.

That is the "dark data" of the field: everything your sales force sees, hears and understands out there, and that dies there because logging it is a nuisance. Asking a rep to sit down after every visit and type up a detailed report is asking for something almost nobody does well. So the most valuable information in your company — the information in direct contact with the customer — evaporates every single day.

The cost of that evaporation is enormous and silent. The company finds out late (or never) that a competitor is attacking, loses the chance to get ahead of a customer's expansion, and fails to detect signals that, added together, would tell a clear story about the market. It is not that the rep does not know: it is that what they know never becomes actionable data.

Success depends on logging costing almost nothing. If the voice note is quick and simple, the rep uses it. If you add fields and steps, they go back to not using it. Less is more: let them dictate in seconds and carry on.

4.2 Start with few categories

Do not try to capture everything from the outset. Define two or three types of information that genuinely matter (competition and opportunities, say) and focus there. Over time you add more.

4.3 Close the loop: get the data back to the rep

Adoption holds up if the rep sees their notes being useful. When what they dictated comes back as a useful alert, an opportunity being followed or better preparation for their next visit, they understand why they are doing it. Field data also connects to route planning: what the rep reports helps decide who to visit and when.

4.4 Use the information, do not archive it

Capturing without using is worse than not capturing, because it demotivates. Field information has to enter real commercial decisions. That is the point of the whole exercise.

The key indicators:

  • Visit logging rate (before versus after — it usually jumps).
  • Competitor alerts captured and acted on.
  • Growth opportunities detected in time.
  • Logging time per visit (from several minutes to seconds).

The return is not measured only in efficiency, but in decisions you could not make before. Getting ahead of a competitor's move or catching a customer's expansion in time can be worth far more than the cost of the whole tool. And the time the rep does not lose typing goes into selling.

6. Common mistakes in capturing field information

6.1 Demanding reports instead of eliminating friction

The classic mistake is trying to solve the lack of information by "requiring" reps to fill in the form. It does not work, because logging competes with selling and the rep chooses selling. As long as filing a report remains laborious, it will not be done well. The solution is not more discipline, it is less friction: make logging cost thirty seconds of speech, not ten minutes of typing.

6.2 Asking for too many input fields

When capture finally gets digitized, the temptation appears to ask for everything: long forms, many categories, structured data. That reintroduces the very friction you wanted to remove. Better to start with two or three types of information that genuinely matter (competition, opportunities) and let AI structure the rest from the rep's free-form account. Fewer fields, more adoption.

6.3 Capturing and giving nothing back to the rep

Adoption collapses if the rep feels they are dictating into a void. If what they report never comes back as something useful (an alert, an opportunity being followed, better preparation for their next visit), they stop doing it. Capture has to close the loop: what goes in by voice has to come back as value for whoever dictated it. That feedback is what sustains the habit.

6.4 Archiving the information instead of acting on it

Capturing a lot and using little is worse than not capturing, because it creates cost and demotivates. Field data is only worth it if it enters real decisions: competitor alerts that trigger an action, opportunities that get assigned, at-risk accounts that get prioritized. The rep's voice has to turn into commercial movement, not into a repository nobody looks at.
